Yes. Scheduled transfers can be adjusted—either delayed or expedited—due to factors such as staff shortages, public holidays, or a high volume of incoming shipments. These adjustments are typically coordinated and approved by the 3PL in consultation with the CS team to maintain operational efficiency. In such cases, the CS team is responsible for communicating any changes to ensure all relevant stakeholders are informed in a timely manner.

Can I pick up my order directly from the warehouse to avoid delays?

Yes, you can; however, please wait until you receive the automatic pickup notification, which is sent once the order has been released by Finance. Attending to collect goods before this, may result in the collection being rejected.

Can I request a transfer between warehouses to fulfill a backorder for my customer?

Yes, however a transfer freight charge will apply.

Can I reserve stock that hasn’t physically arrived yet?

Yes. If stock is confirmed to be inbound—either through a purchase order or a transfer order—you can reserve it in Navision, even if it hasn’t yet been receipted into the warehouse. This is especially useful for forward or estimate-dated orders, as it allows you to: Secure stock in advance, ensuring it’s allocated before it arrives Maintain accurate order planning, especially for high-demand or limited-availability items Make sure the expected receipt date of the inbound stock aligns with the sales order shipment date, as the system will not allow you to reserve the stock unless the shipment date on the order line has been updated accordingly.

Can I see if my backordered item is reserved from an upcoming shipment?

Can I track the physical location of a transfer once it has left the warehouse?

Transfers can be partially tracked through the OneFlo portal; however, the exact location may not always be accurate, as the goods may pass through multiple depots, and real-time visibility can be limited

Yes, reserved stock can be reallocated, provided all relevant sales representatives are consulted. This ensures that the original customer is informed and willing to wait for the next available shipment.

Could you please advise how long a typical stock transfer between warehouses usually takes?

The timeframe can vary depending on several factors, including the quantity of items being transferred and the time the pick is sent to the PFM warehouse. For example, if the pick is issued after 12pm on a Monday, PFM will typically begin picking the following morning. Once picking is complete, PFM must coordinate with our Ingleburn warehouse to schedule a suitable delivery time. Generally, the process depends on the workload at both ends, but a typical turnaround time is approximately 2–3 business days.

Do all the transfers start with a BT?

Yes. BT stands for Branch Transfer, which is the standard prefix used. However, not all BTs relate specifically to the RF division.

How are items added to transfers?

When CS enters an order for an interstate customer, we first check stock availability within the local warehouse (WH). If there is no stock on hand and no incoming stock scheduled to that location, we then: Review stock levels in the Sydney (SYD) warehouse. Allocate the required item(s) to the next planned interstate transfer from SYD. Reserve the item(s) in the system against the BT to prevent them from being used for later orders placed directly out of SYD.

How are items prioritized for transfers when stock is limited?

When stock is limited, items are prioritized for transfer based on the chronological order in which orders were received. This ensures a fair and consistent approach.

How do CS stay on top of transfers and stock allocation?

CS conducts detailed reviews every Tuesday and Thursday using the following two reports: 1. In these cases, we use the original order number (e.g., BS0398865) in the External Document No. field. Once the warehouse receives the product, a pick will automatically be generated against the original order. The cost of this direct transfer is charged to the customer under the original collect order.

To do this, update the shipment date on the sales order line to align with the expected arrival date of the stock. Ensure the order is next in line to receive the stock by reviewing the sales order creation date. Orders are fulfilled on a first-in, first-out basis, so the oldest order should receive stock first. Who decides the cut-off date/time for each warehouse?

Cut-off dates and times are pre-set based on the established transfer schedule. Coordination between the CS and 3PL occurs regularly via our group Teams chat. The 3PL team provides CS with a suggested list of items for interstate transfer based on their movement report. An item may be excluded from a transfer if stock was not available at the time the transfer was released for picking. The estimated arrival time (ETA) is dependent on the timely arrival of inbound shipments or containers to our warehouse. Occasionally, unforeseen delays—such as port congestion or fumigation requirements—can affect these arrivals. If this occurs, the affected item(s) will automatically be scheduled for the next available transfer. Customer Service will notify you of any known delays as soon as we are informed.

Will I be charged for transfers between warehouses?

Planned transfers from SYD to destination are free. However Ad-hoc or urgent transfer requests incur direct freight charges. Customer Service can provide you with a quote.

What is the difference between NR and non-NR product models?

NR stands for “Natural Refrigerant,” which is a more environmentally friendly and energy-efficient gas. The majority of Bromic units have now been transitioned to Natural Refrigerant, which aligns with our commitment to sustainability and reducing environmental impact of our equipment.
